Role Overview

As a Receptionist (Remote), your job is to connect quickly, build trust, understand each person’s situation, and motivate them to take the next step with our firm. You’ll handle inbound calls and new leads, provide clear and professional information, and document each interaction accurately so the experience feels seamless and supportive from the very first contact.

Responsibilities

  • Answer inbound calls and respond to new inquiries promptly, professionally, and with empathy.
  • Build rapport quickly and guide callers through a structured conversation to understand their needs.
  • Provide accurate information about the firm, our services, and general process expectations.
  • Address questions clearly and confidently, ensuring the caller feels supported and informed.
  • Schedule appointments and ensure all details are correctly captured in the internal system.
  • Maintain clean, thorough notes for every interaction to support continuity and follow-through.
  • Follow up as needed to confirm appointments and share next-step instructions.
  • Manage a high volume of interactions while maintaining a high-quality client experience.
  • Identify recurring questions or friction points and share insights to improve internal processes.
  • Collaborate with the team to ensure a consistent, reliable experience for every caller.

What We Are Looking For (Requirements)

Technical Skills & Experience

  • Bilingual (English/Spanish): Fluent written and spoken communication in both languages.
  • English Proficiency: Advanced level (C1 required).
  • Phone-Based Experience: Reception, client intake, call center, customer support, or similar high-volume phone roles.
  • Leads & Retention (Preferred): Experience in lead conversion, appointment setting, or customer retention is a strong plus.
  • Systems & Tools: Comfortable using Microsoft Office, calendars, CRMs/dialers, and internal platforms for documentation.

The Client Services Clerk is an integral member of our firm and is responsible for ensuring that our office runs smoothly. This position meets with clients, handles document drop-offs, handles cash and card payments, and prepares documents. It is a fast-paced position that requires attention to detail.
