Property Maintenance (Administrative Assistant) - Spokane

 $27 USD/hr

Your New Role:  

 

We are looking for a Property & Rental Administrative Assistant to support the overall management of residential or commercial rental properties. This position plays a key role in ensuring operational efficiency, rent collection, tenant support, and property maintenance coordination. It also provides administrative and logistical assistance to the property and rental management team. 

 

The ideal candidate is organized, proactive, customer-focused, and has previous experience in property management or leasing administration. 

 

Key Responsibilities: 

 

Rent Collection and Tenant Relations: 

  • Collect and process rental payments promptly. 

  • Manage delinquency processes, including sending notices and coordinating legal actions if necessary. 

  • Respond professionally to tenant inquiries, requests, and concerns. 

  • Enforce lease agreements and community rules in a fair and consistent manner. 

 

Property Maintenance and Inspections: 

  • Schedule and oversee repairs, maintenance services, and property inspections.

    Collaborate with vendors and maintenance teams to ensure the timely resolution of issues.

    Conduct regular property walkthroughs to ensure safety, cleanliness, and compliance.

    Transport and handle heavy equipment (e.g., washers, appliances, office furniture) as needed to support maintenance tasks or property turnovers, ensuring items are safely loaded, unloaded, and moved to prevent damage.

     

Lease Management: 

  • Facilitate lease signings, renewals, and move-in/move-out processes. 

  • Maintain accurate and up-to-date tenant files and lease documentation. 

  • Assist in marketing available units and supporting leasing agents when needed. 

 

Financial Reporting and Budgeting: 

  • Assist in preparing monthly financial reports. 

  • Track expenses, ensure budget compliance, and submit invoices for processing. 

  • Support in forecasting revenue, occupancy goals, and capital improvements. 

 

Administrative and Logistical Support: 

  • Support administrative tasks such as document preparation, filing, and supply tracking. 

  • Assist with the setup and teardown of materials and equipment for events. 

  • Manage basic inventory tracking for incoming and outgoing items. 

  • Help coordinate every task about the properties, event timelines, and task lists under the supervisor's guidance. 

  • Respond to internal requests for properties and clerical support in a timely and professional manner. 

  • Restock of supplies and merch. 

     

Qualifications: 

 

  • High school diploma or equivalent required; associate or bachelor's degree preferred. 

  • 2+ years of experience in property management, leasing, or related fields. 

  • Strong organizational, communication, and problem-solving skills. 

  • Proficiency with property management software (e.g., AppFolio, Yardi) is a plus. 

  • Ability to multitask and prioritize in a fast-paced environment. 

  • Customer service mindset and attention to detail. 

 

Physical Requirements: 

  • Ability to walk properties, climb stairs, and lift up to 25 pounds if needed.

    Ability to lift and carry equipment. 

  • Flexibility to work weekends or evenings occasionally for tenant needs or events.
