Case Processing Assistant

Modality: Remote (Home Office)
Pay: 1200 USD per month
Schedule: Monday through Friday, 8 AM – 5 PM Pacific Time

Responsibilities

  • Draft and prepare initial versions of letters, forms, declarations, briefs, and other case-related documents.
  • Review client information, case materials, and supporting documents for completeness, consistency, and accuracy.
  • Identify missing information, inconsistencies, documentation errors, or pending items that may affect case preparation.
  • Assemble case packets and ensure required documents are properly organized before submitting them to the Case Coordinator.
  • Request, verify, and follow up on required case materials from clients or third parties.
  • Review case status regularly and keep notes, records, and updates accurate in the internal system.
  • Conduct introductory calls with clients and document relevant information accurately.
  • Communicate with clients regularly and provide clear, timely, and respectful updates.
  • Translate during client meetings when needed.
  • Escalate unresolved issues to the Case Coordinator for guidance.
  • Handle sensitive and confidential information with professionalism and care.
  • Follow internal procedures and meet quality standards for case preparation and documentation.


Requirements

  • Graduated or in the final semesters of Law, Political Science, or International Relations. 
  • Fluent in English and Spanish.
  • Advanced English level (C1 required), with excellent speaking skills and especially strong writing skills.
  • Strong reading comprehension and document-drafting skills.
  • Excellent attention to detail and ability to identify missing or inconsistent information.
  • Strong organization, time management, and follow-up skills.
  • Clear, respectful, and professional communication with clients.
  • Proficiency in Microsoft Office and digital platforms.
  • Availability to work full time during Pacific Time business hours.
  • Reliable home office setup.

About the Role

You will manage incoming correspondence and digital documents across shared inboxes and internal queues, ensuring each item is properly classified, prioritized, and uploaded to the correct case.

This role requires experience in document management and the ability to maintain accuracy in a high-volume, process-driven environment. Your work will help keep case records organized, prevent processing delays, and ensure time-sensitive correspondence reaches the appropriate team promptly.

Responsibilities

  • Monitor multiple shared inboxes and internal correspondence queues to ensure incoming items are processed within established timelines.
  • Review and classify application materials, supporting documentation, signed forms, and other incoming correspondence.
  • Process scanned documents received from offices, including client drop-offs, following established procedures.
  • Match documents to the correct case using identifying information, and upload and index files according to internal filing standards.
  • Flag urgent or time-sensitive correspondence for prompt internal follow-up.
  • Report unclear classifications or case assignments to the appropriate team for clarification.
  • Maintain consistent organization across correspondence channels and protect confidential client information.

Requirements

  • Bachelor’s degree in Business Administration, International Relations, Law, Political Science, or a related field.
  • Fluency in English and Spanish, both written and spoken, with strong reading comprehension and the ability to follow written instructions accurately.
  • Experience managing digital documents in a structured administrative environment, including reviewing, classifying, and assigning files to the appropriate records.
  • Proficiency in Microsoft Outlook, including managing multiple inboxes, organizing correspondence, and locating messages and attachments.
  • Proficiency in Microsoft Office and the ability to learn and navigate internal document management systems.
  • Strong attention to detail when reviewing identifying information, entering data, and filing documents.
  • Ability to prioritize a high volume of incoming work and maintain accuracy and consistency during repetitive tasks.
  • Clear communication skills to report issues, request clarification, and coordinate with internal teams.
  • Availability to work Monday through Friday, 8:00 AM–5:00 PM Pacific Time.
